Determine what makes this announcement newsworthy. Is it timely, significant, unique, or does it have human interest? If you can’t explain why someone should care about your news right now, reframe your angle or reconsider the announcement.
Collect all essential details: names and titles of key people, specific dates and locations, relevant statistics, approved quotes from administrators or stakeholders, and background context about your institution or program.
Create a headline under 10-12 words that clearly states the news. Use active voice, include your institution name, and be specific. Example: “State University Launches First Undergraduate AI Ethics Program in Region.”
Answer who, what, when, where, and why in 2-3 sentences maximum. This is what journalists call your lede or lead paragraph. Put the most important information first. Keep it under 50 words and make it quotable—journalists often use this paragraph verbatim.
Use the inverted pyramid structure with the most important details first:

End with a 1-2 paragraph “About” section describing your institution. Include enrollment, founding year, location, key distinctions, rankings, and accreditations. Use the same boilerplate across all releases.
List a specific media contact person with name, title, phone, and email. Make yourself available for follow-up questions and interviews.
